This Cancellation Policy is designed to clearly define how service cancellations are handled under AdaptABLE Operations. It aligns with our Terms & Conditions and varies depending on the type of service engagement.
We work with two types of clients:
Maintenance Clients (Ongoing Services) and Project Clients (Fixed-Scope Work).
I. Maintenance Clients (Ongoing Services)
These apply to clients under ongoing operational support
Cancellation Terms:
● A 30-calendar-day written notice is required to cancel services.
● The notice period begins on the date AdaptABLE Operations formally acknowledges receipt of the cancellation request in writing.
● Services will continue to be fully delivered during the 30-day notice period.
● After the 30th day, all services will be officially terminated.
This notice period ensures proper transition, handover, and closure of ongoing workflows, systems, and responsibilities.
II. Project Clients (Fixed-Scope Services)
These apply to structured engagements (project-based work) and custom-scoped services.
Project work is divided into clear stages to ensure transparency, alignment, and informed decision-making before full commitment.
● Stage 1: Initial Intake & Project Brief
- A $200 non-refundable fee is required to initiate the project brief.
- This covers initial discovery, research, and early-stage scoping.
- A preliminary project brief is prepared outlining direction and feasibility.
Clients may choose to discontinue the process at this stage with no further obligation.
● Stage 2: Project Charter / Full Scope Development
- If the client chooses to proceed, a full project charter is developed.
- This includes detailed scope, workflows, timelines, operational structure, and (if applicable) vendor recommendations and cost estimates.
Clients may still opt out after reviewing the Project Charter with no additional financial obligation beyond Stage 1.
● Stage 3: Project Commencement
- Upon approval of the Project Charter, a 50% deposit is required to begin execution.
- This marks the official start of active project work (e.g., implementation, coordination, system building, vendor engagement).
III. Cancellation After Work Has Begun
If a project is cancelled after execution has started:
● The client is responsible for all work completed up to the cancellation date
● Any committed third-party or vendor costs incurred will be billed to the client
● The 50% deposit is non-refundable once project execution has begun
This ensures fairness for work already completed and resources already allocated.
IV. Final Payment Terms
● The remaining 50% balance is due upon project completion and final delivery.
● Final deliverables will only be released once all outstanding balances are settled.
V. Vendor & Third-Party Costs
Please take note of the following details:
● Any fees related to external vendors (e.g., legal, HR, software, recruiting platforms) are separate from AdaptABLE Operations fees
● Vendor policies and cancellation terms may differ and are governed independently
● AdaptABLE Operations is not responsible for refunds or disputes related to third-party providers

Our cancellation structure is designed to:
● Protect both client and service provider investment
● Ensure transparency at every stage
● Prevent unnecessary project delays or incomplete execution cycles
● Maintain fairness for completed and in-progress work
